Questions care teams actually ask

Is Care Roster only for hospice?

No. Care Roster is built for care operations broadly: hospice, home health, palliative care, senior care, assisted living, and similar agencies. Anywhere a team relies on a shared list of vendors, facilities, physicians, and on-call coverage to keep care moving, Care Roster fits.

How does texting staff work?

From the emergency screen, an administrator writes a short message and Care Roster sends it to your internal staff as a text for closures, weather delays, coverage changes, and other urgent operational notices. The sender picks work mobiles, personal mobiles, or both for each message. Work numbers are opted in automatically; personal numbers are only reachable if that person opted in themselves, and it’s never a condition of employment. You see exactly who will receive the message before it sends, every text begins with Care Roster and, where it fits, your agency’s name, STOP replies are honored automatically, and a live counter shows the exact total as you type. Staff texting is part of the Complete plan, with no per-message fees, and you can ask people to confirm and follow up with anyone who hasn’t replied. A trial carries 25 texts, enough to check that the wording and the number look right.

Do we enter patient data?

Never. Care Roster is PHI-free by design. It’s for operational contacts and on-call coverage, not patient records. There are no patient fields anywhere in the product, and free-text fields carry a visible reminder never to enter patient information. Patient care details stay in your EMR; Care Roster holds the vendors, physicians, facilities, and after-hours contacts your team calls to keep care moving.

Can I import what we already have?

Yes. Organizations and contacts import from CSV with a guided template so you can map your existing spreadsheet quickly. You can be running a shared directory the same day you sign up, and you can export your contacts back out to CSV any time.

Can we sync from Microsoft 365?

Yes, if you’d like. It’s optional. Care Roster can sync contacts from chosen Microsoft 365 groups, or from your whole directory including people who exist only in Entra with no mailbox, so the directory stays current automatically, let your team sign in with their Microsoft account, and assign each person’s role (Admin, Editor, or Viewer) from the Microsoft 365 group they’re in. Hand-entered contacts are never overwritten, and email-and-password sign-in keeps working alongside it. Everything in Care Roster works without Microsoft 365 too.

Can different staff have different access?

Yes. Access is controlled by role, and everyone on staff can have a login. Admins manage the directory, users, and staff texting. Editors add and edit contacts and run reports. Viewers search, call, and open the emergency sheet. That suits nurses or coordinators who need an answer fast but shouldn’t be changing records.

Can we print directories and on-call sheets?

Yes. Care Roster prints clean, dated operational sheets: the full directory, on-call and after-hours sheets, an Emergency Reference Sheet, category directories, and verification reports. Each one is ready to post by the phone, hand off at change of shift, or keep in a binder for when the Wi-Fi is spotty.

What happens after the trial?

You choose Essentials or Complete at the size that fits your agency, and everything you set up carries on. Complete is Essentials plus Alerts for texting your staff. Both are a flat rate for up to 150 users or 151 to 500 users, and launch pricing applies when you subscribe by December 31, 2026, locked in for as long as you stay subscribed (fair use applies: unusually heavy alert usage can move a Complete subscription to the standard price at renewal, with 30 days’ notice). More than 500 users? Contact us for a quote. If you let the trial lapse, your account goes read-only, so you can still sign in and export your data; after 12 months read-only it’s deleted, with 30 days’ notice first.
